Code of Conduct

1. Introduction
Calmer Soul is dedicated to fostering a safe, respectful, and supportive environment for all staff, volunteers, facilitators, and participants in our online wellbeing support Huddles. This Code of Conduct sets out the expected standards of behaviour to ensure a positive and inclusive experience for everyone.

2. Scope
This Code of Conduct applies to all:

  • Staff members (permanent, temporary, or contract-based)

  • Volunteers

  • Huddle facilitators and support personnel

  • Participants in online support Huddles, workshops, and events

  • Third-party collaborators

3. Principles of Conduct
All individuals engaging with Calmer Soul must adhere to the following principles:

  • Respect and Inclusion – Treat others with kindness, dignity, and respect, regardless of differences in background, opinions, or personal circumstances.

  • Confidentiality – Respect the privacy and confidentiality of others in accordance with our Confidentiality and Data Protection Policy.

  • Positive Communication – Use supportive, considerate, and inclusive language in all interactions.

  • Non-Discrimination – Calmer Soul does not tolerate any form of discrimination, including but not limited to race, gender, sexuality, disability, religion, or age.

  • Zero Tolerance for Harassment or Abuse – Any form of harassment, bullying, intimidation, or abuse will not be tolerated.

  • Integrity and Accountability – Be honest, responsible, and accountable for your actions and words.

4. Online Conduct
As Calmer Soul operates primarily in an online environment, participants must ensure their online behaviour aligns with the following guidelines:

  • Engage Respectfully – Be mindful of tone and intent when communicating in digital spaces.

  • No Harmful Content – Do not post, share, or distribute harmful, offensive, or inappropriate content.

  • Privacy Awareness – Do not share personal details of others without their explicit consent.

  • Reporting Concerns – If you witness or experience inappropriate behaviour, report it to a designated facilitator or contact [email protected].

5. Professional and Ethical Standards
Staff, volunteers, and facilitators must uphold the following professional and ethical standards:

  • Commitment to Wellbeing – Prioritise the mental and emotional wellbeing of participants.

  • Training and Development – Engage in relevant training and continuous learning to maintain high standards of support.

  • Avoid Conflicts of Interest – Disclose any personal or professional conflicts that may affect impartiality.

  • Follow Organisational Policies – Adhere to all policies, including safeguarding, confidentiality, and data protection.

6. Breach of Conduct and Consequences
Failure to comply with this Code of Conduct may result in:

  • A verbal or written warning.

  • Temporary or permanent suspension from participation in Calmer Soul activities.

  • Further action where necessary, including reporting to relevant authorities.

7. Reporting Violations
If you observe or experience behaviour that breaches this Code of Conduct, please report it immediately by emailing [email protected]. All reports will be taken seriously and handled with discretion.

8. Policy Review

  • This Code of Conduct is reviewed annually or as needed to reflect best practices and organisational needs.

  • Feedback from staff, volunteers, and participants is welcomed to enhance the effectiveness of this policy.

This policy is effective as of 1 January 2025 and applies to all individuals engaging with Calmer Soul.
