Safeguarding Policy

1. Introduction
Calmer Soul is committed to providing a safe, supportive, and inclusive environment for all individuals engaging with our online wellbeing support huddles. We recognise our responsibility to protect the welfare of all participants, staff, and volunteers by promoting best safeguarding practices. This policy outlines our approach to safeguarding, ensuring that all individuals are treated with dignity and respect while participating in our services.

2. Scope
This policy applies to all individuals involved with Calmer Soul, including but not limited to:

  • Staff members

  • Volunteers

  • Facilitators

  • Participants in online support huddles, workshops, and events

  • Third-party collaborators

3. Principles
Calmer Soul is guided by the following safeguarding principles:

  • Prevention: Taking proactive measures to protect individuals from harm, abuse, and neglect.

  • Protection: Ensuring that appropriate action is taken when safeguarding concerns arise.

  • Accountability: Assigning responsibility for safeguarding and ensuring transparency in processes.

  • Empowerment: Encouraging individuals to speak up if they feel unsafe.

  • Partnership: Working collaboratively with appropriate agencies when necessary.

4. Safeguarding Responsibilities

  • Staff and Volunteers: All staff and volunteers must be aware of and comply with this policy, participating in any safeguarding training as required.

  • Designated Safeguarding Lead (DSL): Calmer Soul will appoint a DSL responsible for managing safeguarding concerns, providing guidance, and ensuring compliance with safeguarding policies.

  • Participants: While we aim to create a safe space, participants are encouraged to respect one another and report any concerns about inappropriate behaviour or potential harm.

5. Recognising and Reporting Concerns
If any individual has concerns about the safety or welfare of another person, they should report it to the Designated Safeguarding Lead. Concerns may include, but are not limited to:

  • Emotional, physical, or sexual abuse

  • Neglect or self-neglect

  • Harassment or bullying

  • Radicalisation or exploitation

Reporting Process:

  1. Raise the concern – Any safeguarding concerns should be reported to the DSL as soon as possible.

  2. Record the concern – The DSL will document the details of the concern in a confidential manner.

  3. Action and referral – If necessary, the DSL will refer the matter to appropriate external safeguarding agencies or law enforcement.

  4. Follow-up – The DSL will ensure appropriate support is provided and necessary actions are taken.

6. Confidentiality and Data Protection
All safeguarding concerns will be handled with the utmost confidentiality and in accordance with Calmer Soul’s Privacy Policy and UK data protection laws. Information will only be shared with relevant authorities when required to protect an individual’s safety.

7. Online Safety
As an online wellbeing support platform, Calmer Soul prioritises digital safeguarding. Our online sessions are facilitated to ensure:

  • Safe and respectful communication.

  • Protection against cyberbullying and harassment.

  • Moderation of discussions to prevent harmful content.

  • Reporting mechanisms for inappropriate behaviour.

8. Safer Recruitment
Calmer Soul follows safer recruitment practices for staff and volunteers, including:

  • Conducting background checks (where applicable)

  • Verifying references

  • Providing safeguarding training

9. Policy Review
This Safeguarding Policy will be reviewed annually, or as necessary, to ensure it remains up to date with legal requirements and best practices.
